Protecting every door, device, and dataset
We built KwikPass to handle sensitive entry data. This policy explains how we safeguard that information and the choices you have as an operator or member.

Information we collect
- Account data such as business details, billing contacts, and team member profiles are required to create and operate your workspace.
- Operational data—including member identities, check-ins, passes, and messages—is stored only when you or an integration choose to sync it with KwikPass.
How we use your data
- We use business and member data to provide core services: access control, marketing automations, reporting, and customer communications.
- Aggregated or anonymised insights may be used to improve the platform. We never sell personally identifiable information to third parties.
Storage, security, and retention
- Primary data is hosted in secure cloud regions within Africa and the EU, with encrypted backups retained for a minimum of 30 days.
- Access to production systems is limited to trained personnel under strict access controls. Logs are monitored for unusual activity.
Sharing with third parties
- We share data with processors that help deliver the service—such as payment gateways, SMS providers, or analytics platforms—under signed data protection agreements.
- If we receive a lawful request from regulators or law enforcement, we may disclose information after verifying jurisdiction and scope.
Your rights and choices
- You can export or delete business data at any time from the dashboard. For member data requests, you control whether records are updated or removed.
- If you are a member of a KwikPass-powered business, please submit access or deletion requests directly to that business. We will support them in responding.
Data processing agreements & compliance
KwikPass offers DPA addenda covering NDPR, GDPR, and other regional obligations. Enterprise customers can also request custom audit support, including penetration testing summaries and data flow diagrams.

Members can contact us at privacy@getkwikpass.com if they cannot reach a business administrator directly.
